Menu 2:

Inserting files: Pictures, Word Art, and Sounds

*It will be helpful if you start a New Document

and type along, trying out all the instructions.

Go ahead....it will only take about 30 minutes to do Menu 2.

D. INSERT (Locate the "Insert" on the Menu Bar, click on it, observe the drop down menu)
   
  INSERT gives you an opportunity to insert many things into your document:
  • section breaks (to automatically go to the next page),
  • page numbers,
  • dates & times,
  • pictures,
  • sounds, and
  • hyperlinks.
  BREAK: A selection of different types of breaks is here for you. For example:
  • Next Page: Selecting this will place double, dotted lines with the words "Section Break (Next Page)" in the center. Your text will automatically be starting on the "Next Page". Do this at the bottom of your document.
  • Column Break: Will break the text into two columns.
  PAGE NUMBERS: (and Date & Time) This will allow you to select where you would like the page numbers (or Date & Time) placed if you didn't get this job done in the "Header and Footer" section. You can also format chapter numbers with this selection. Try this out with your document.
  AUTOTEXT: Gives you a variety of text automatically set up for you. These can be used in letters, memos, etc. Try out a few if you'd like. This is useful for memos around the office.
  FIELD: Not a "basic" Word tool.
  SYMBOLS: Gives you a selection of symbols and characters to be inserted into your document. Place the cursor where you want the symbol inserted in the document, CLICK INSERT > SYMBOL > double click the symbol or character you want.
  COMMENT: Will allow you to insert a comment to the author. After entering the comment on the screen that pops up, the first Letter/Number of the line you "commented on" will be highlighted in yellow. An "advanced" Word skill.
  FOOTNOTE: Allows you to type in the footnote on the bottom of the page.
  CAPTION: This selection allows you to name/number a caption under a picture or table or equation.

PICTURES FROM CLIP ART: To insert a picture (.gif, .jpeg, other format) you must know the file name and location of the picture. If you wish to use the graphic clip art included with Word, you'll be able to make this selection here. When downloading images from the WWW, place them all in a specific file under "My Documents" so you'll know where they are later on. Make sure your Word CD-ROM is placed in your CD-ROM drive before inserting clip art.

PRACTICE INSERT > PICTURE > FROM CLIP ART

[NOTE: A window will appear labeled Microsoft Clip Art Gallery. You'll have a selection of different clip art organized by a table of contents on the left, and the clip art on the right. You can scroll through all of them until you've found your selection. You'll need the Microsoft Word CD-ROM to have access to all of the clip art -- only PART of the clip art is actually loaded on your computer. If you have the disk, insert it into the CD-ROM drive. Clip Art Gallery will know it's there and allow you access to the entire Art Gallery.]

To select a clip, double click on it. This will place the clip on your document. You can resize the clip by clicking on a corner and enlarging or shrinking it. Try this now.

OR: You can click once on the clip, then click "select" button. This will also place the clip on your document.

   
  INSERTING A PICTURE from another file: You'll need to know the name and location of the file you're looking for now.

INSERT > PICTURE > FROM FILE

[NOTE: A window will appear labeled "Insert Picture". Locate the folder your picture is in. Then locate the picture name. Double click on the file. It will be inserted into your document. Try this now if you've got an image/picture saved in a file.

  INSERTING A PICTURE FROM THE SCANNER: Must have a scanner connected to your computer with the software loaded. Scanners will be covered in another presentation...
  INSERTING A PICTURE FROM WORD ART:

INSERT > PICTURE > FROM WORD ART

* NOTE: A window will appear, select the style of lettering you want. Another window will appear asking to type in the text you want. Select the size font and type in your text. Click Okay. The Word Art text will be inserted into your document. (See 4. Above).

  INSERTING A PICTURE FROM CHART: You can insert a chart or make a new chart. (More advanced Word Feature).
  INSERTING A TEXT BOX: There are times you'll need to insert a box and add text. For example, in newletters, columned documents, possibly syllabi. Try inserting and working with a text box now:
PRACTICE INSERT > TEXTBOX

To work with the text box: Click once on the box to Highlight it and bring up the small squares in the center and at each corner of the outline.

DELETE: Once highlighted, you can hit the delete button to clear the box.

CUT, COPY, PASTE: Right click in the text box. This highlights it and brings up a menu to cut, copy, paste, etc. into, or out of, the text box.

FANCY BOXES: To get alittle creative with your new text box

CLICK ON BORDERS and SHADING

(The selections here will allow you spice up the new text box.)

  INSERTING A FILE: This feature allows you to insert any file you have on disk.
  INSERTING AN OBJECT : This feature allows you to insert an object from another program into your current document. You should know the type of object you're looking for to begin with. Example here: Media Clip, Clip Art, Video, audio clip.

Remember: To delete an object or file, click once to highlight it, then hit the delete button on your keyboard.

Insert a sound file into a Word document: See Help Files: "sounds"

To insert a sound file into a Word document, you can use Sound Recorder: a Microsoft Windows accessory that lets you record, edit, and play sound files. To use Sound Recorder, you must have a sound card and speakers installed on your computer. If you want to record live sound, you also need a microphone. For more information about Sound Recorder, click the Help menu in Sound Recorder.

1. Open both the Word document and the Sound Recorder sound file you want to insert.

2. Switch to Sound Recorder, and click Copy on the Edit menu.

3. Switch to Word, and click where you want to insert the sound file.

4. To insert the sound file as an embedded object, click Paste on the Edit menu. To insert the sound file as a linked object, click Paste Special on the Edit menu. Click Paste link. In the As box, click Wave Sound Object.

Note To play a sound file, double-click its icon. Remember when making sound files, you must save it and name it in order to insert in into your document. Linking the sound to an object in your document can be helpful especially when creating files for the WWW.

  Insert Bookmark (Advanced feature) See Help Files: Bookmark for more info.
  Insert a Hyperlink: This is useful for online syllabi or other web pages created using Word. It allows you to specify the URL or E-mail Address [mailto:] for your html document.
PRACTICE Try adding a hyperlink to your email address into your document:

INSERT > HYPERLINK > Select "MAILTO:" from the drop down menu > Type in your email address.


Congratulations on completing Menu 2. Go to Menu 3 now for more fun with Microsoft Word.
